Reflection on Assignment 2: Bad News Message

From this bad news message assignment, I learned that planning is a very important step prior to writing the actual bad news message. Since I'm delivering the bad news to the audience, I have to take into consideration the reaction that the audience will have after reading the message. Therefore, careful planning is necessary to organize my bad news message so that it will be more receptive to the audience.

Using the direct approach or the indirect approach that were introduced in the textbook was one of the things I have to decide after I planned my business situation. The examples and explanations given in the textbook are really helpful and I was able to determine that my bad news message falls under the "handling bad news about orders" category. In addition, I learned that it is important to do research during the planning step; otherwise, the bad news message will become vague. I researched information on the product, the order method, and delivery method and they are presented in the bad news message. This information can establish an optimistic, confident tone so that the audience won't lose interest on the product. Finally, I checked my work after I finished writing the bad news message using the checklist that was provided.

Writing the buffer for the bad news message was one of the challenges that I have to overcome. I have to set the stage for the bad news to follow; yet, I don't want to give the impression of being dishonest or insincere. I decided to write a buffer that appreciates the audience's interest in the product and assures that the audience's choice in choosing the product is wise. Then, I have to present reasons and state the bad news. I explained that the product is out of stock due to high popularity of the print, which will stimulate the audience's desire for the item. Finally, I ended with a positive close that reminds the reader of free shipping in order to secure the sale. I learned that organization is important to effectively deliver the bad news.
