Needs Statement

Energy-Appropriate 4-Season Campus & Community Vehicles

There is a need for a safe, reliable, compact vehicle powered by alternative energy that will be marketable for intra-campus and intra-community travel (and therefore have sufficient weather protected and secure storage space). The vehicle must address the problems of pollution, petroleum consumption, parking, and operating costs. It must be high quality, aesthetically appealing and provide 4-season weather protection and performance capability (for most locations within the continental US).

Operating Procedures

Agenda: Jim will set the agenda for meetings. Prior to meeting, the agenda will be sent to members for approval. Corrections and/or additions are encouraged. Agendas will also be posted on the web.

Attendance: 6 out of the 9 team members must be in attendance for a meeting to take place. Absences are justified prior to meetings in order to be excused. Notification before meetings for tardiness is encouraged.

Meetings: Weekly meetings take place in Stocker on Sunday evenings at 7:00 P.M.(Time subject to change) Members will meet in the lobby and move to an appropriate lab or room.

Decision Process: Consensus. In the case of minimum attendance, decisions affecting the entire team will be postponed until all members can be contacted. Decision-making power may be delegated to committess for specific tasks.

Minutes and Reports: Jim will produce the minutes by taking notes at each meeting. Recorder will remain neutral. Minutes will be approved by the team before they are posted on the web.

Leader Role: Defined as the person who keeps all other members on task, is aware of all tasks and their deadlines, keeps track of individual results, and has some delegating responsibilities. Leader assumes responsibility of maintaining progress and communicates with non-members. Damon was nominated.

Behavioral Norms: Individual participation in all meeting activities is encouraged. We will respect others when they are speaking. A few constructive interruptions will be tolerated. Feedback must be positive and constructive in nature. Side conversations should be kept to a minimum and should not affect the progress of the meeting.

Confidentiality: Personal issues of members, team expenses, project plans, etc. will be the knowledge of team members only unless permission by the group is given to reveal such information to others.

Guests: Guests who can contribute information or be of service to the group may accompany members to the meeting.

Meeting Audits: Meeting audits will be conducted once a month or as necessary to check the meeting and project process. An appointed member will be responsible for them.

Facilitator: Helps the leader orient personnel, coordinate team activities, and assists in planning. Help keep continuous improvement on-track and gives the leader feedback. Locates expertise when required by team. Suggests alternative methods and procedures and encourages full participation.

Conflict: Will be resolved through a team effort.

Recommendations, Suggestions: Members are encouraged to send suggestions to other members to be put on the agenda for upcoming meetings. They can also be brought forth anytime during the course of a meeting.

Commitments Outside Meetings: Members are expected to complete assigned task prior to deadlines. If there are conflicts with other obligations, the individuals are responsible for either finding a replacement or notifying the leader or facilitator so other arrangements can be made.
